Email Invitations For Online Surveys: The 5 P’s

We’ve talked before about the fact that email invitations are one of the most powerful vehicles for asking participants to take part in your online surveys, but a slap dash ‘please answer my survey questions’ isn’t going to cut the mustard I’m afraid.

Email invitations are a simple, cost effective and easily measurable way to request participation in your surveys, but it’s important that you give it your best shot from the get go because as the old saying goes, you don’t get a second chance to make a first impression.

Here are our top tips to help you pen the most effective survey email invitations:


If your data allows it then personalise your email messages by including a recipient’s first name within the body of the email.

Don’t overdo it though, I find it really distracting when someone overuses the ‘match fields’ function and references my name more than once or twice in an email.


Make sure that the ‘from’ name you send from is familiar to your recipients whether you opt to send from an individual within your company or from the company name itself.


Explain the purpose of the survey and the benefits of taking part as concisely and thoroughly as you can. Now I know what you’re thinking, there’s an oxymoron if ever I heard one! Your email needs to sell the importance of your survey enough to get people engaged, but you need to do it in a way that will hold their interest, most recipients will only give you a few minutes of their time.


Keep your subject line short and snappy. Whilst we’re on the subject of subject lines, make sure that you avoid the overuse of capitals and exclamation marks. I’d want to do nothing but delete an email like this:

Don’t be afraid to thank a recipient in advance for their participation and also dedicate a few lines or so to assuring them that all of their responses will be kept confidential, you could also direct them to a page hosted elsewhere where they’re able to find out more about your privacy policy if appropriate and if they wish to do so.
